Position Title: Grants Administrator (Reconciliation Specialist)
Hours: This is an exempt position that will require working occasional evenings and weekends
Salary: $65,000

The Minnesota Humanities Center (MHC) is a statewide nonprofit organization that supports the development of humanities programming in Minnesota, creates humanities programming, issues humanities grants, and operates an event center in St. Paul, Minnesota. Responsibilities
This position will report to the Grants Manager. This position requires a passion for detail and organization, excellent communication skills, and the ability to work well collaboratively with others.
- Manage grant awards, reporting, monitoring, reconciliation, and contract execution consistent with federal law, state law, and the direction of the Grants Manager,
- Provide training, guidance, and support to grantees on federal and state legal grant compliance obligations and MHC grant compliance requirements,
- Serve as MHC’s point of contact for grantees to ensure timely effective communication and positive relationships with grantees,
- Ensure grantee records are maintained consistently with MHC’s document retention policy,
- Prepare monitoring visit packets and reconciliation meeting packets that may include but not limited to grantee records, project budgets, and grantee expenditures,
- Schedule grantee monitoring visits and reconciliation meetings,
- Prepare reports for internal and external stakeholders,
- Identify MHC grants administration process improvement opportunities, and
- Other duties as assigned by the Grants Manager.
This Grants Administrator will have additional duties assigned by the Grant Manager pertaining to managing and tracking grantee progress during the reconciliation process. This position will regularly review budgets, invoices, payment records, transaction reports, and audit records to ensure grantee compliance.

Requirements
The ideal candidate will be an individual who is organized, enjoys learning, values working with others, and is comfortable working on several projects simultaneously. The ideal candidate should have a basic understanding of general ledgers and/or transaction reports, as well as invoices and supporting documents such as time sheets.
- Bachelor’s degree in: Business Administration, Finance/Accounting, Public Administration, or a related field.
- Proven experience (3-5 years) in grants administration, budgets, contracts, and/or compliance, preferably within the nonprofit sector.
- Knowledge of grant process and procedures.
- Strong project management skills, with the ability to manage multiple priorities and deadlines effectively.
- Excellent communication skills, both written and verbal, with the ability to convey complex ideas clearly and persuasively.
- Proficiency in data analysis and budget management.
- Proficiency in grant making tools like Blackbaud Grantmaking and Foundant, and other platforms.
- Ability to work independently and collaboratively in a fast-paced environment, with an elevated level of diligence.

- Experience working with racial and ethnically diverse communities.

- Proficiency with MS Office Suite (Word, Outlook, PowerPoint, Publisher)

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, multi-functional copiers/printers, and filing cabinets.
Physical Demands
While performing the duties of this job, the employee is regularly required to effectively communicate, use a telephonic device, and/or use a computer. The employee is frequently required to stand, walk, use hands to finger, handle, or feel, and reach with hands and arms. This is a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets, and bend or stand, as necessary. While performing the duties of the job, the noise level in the office work environment is usually moderate. Stress levels may become high during certain times of the year.
